Pollendine Ltd ("Pollendine", "we", "us", "our") provides building, renovation and maintenance services across Cambridge and the surrounding area. This policy explains what personal information we collect through this website, why we collect it, how we use it, and the rights you have over it. It applies to visitors of pollendine.com and to anyone who contacts us through the site.
Who we are
We are the data controller for the personal information described in this policy.
Information we collect
We collect personal information when you voluntarily submit it to us, for example through our "Request a Call Back" or "Request a Quote" forms. This may include:
- Your name
- Your phone number
- Your email address
- Any details you include in your message, such as your address or a description of the work you're enquiring about
We do not knowingly collect any special category data (such as health or financial information) through this site, and we ask that you do not include this in your enquiry.
How we use your information
| What we use it for | Our legal basis |
|---|---|
| Responding to your enquiry or quote request | Legitimate interest – we need this information to reply to you |
| Arranging and carrying out a survey, quote, or agreed work | Necessary to take steps towards, and to perform, a contract with you |
| Keeping records of past clients and enquiries | Legitimate interest – sound business administration |
| Complying with legal or accounting obligations (e.g. invoices) | Legal obligation |
We do not use your information for automated decision-making or profiling, and we do not sell or rent your personal information to third parties.
Who we share it with
We do not routinely share your information with third parties. We may share limited details with:
- Trusted subcontractors, specialists, or suppliers where this is necessary to plan or deliver work you've asked us to quote or carry out
- Our accountant or bookkeeper, where necessary for invoicing and tax records
- Authorities such as your local planning department, only where required to progress a project and only with your knowledge
- Service providers who help us run our website or email (such as our hosting or email provider), acting only on our instructions
We do not currently use website analytics, advertising trackers, or third-party marketing cookies. If this changes, we will update this policy and, where required, ask for your consent first.
Cookies
This website currently uses only cookies that are strictly necessary for it to function. It does not use analytics, advertising, or social media tracking cookies. If we introduce any non-essential cookies in future, we will show a cookie banner so you can accept or decline them before they are set.
How long we keep your information
We keep enquiry details for as long as reasonably needed to respond to you and, if you become a client, for the duration of the project plus a further period afterwards to deal with any warranty, insurance, or legal matters. Where we have a legal obligation to keep records (such as invoices for tax purposes), we retain these for the period required by law, currently up to 6 years. Enquiries that do not lead to any further contact are deleted or anonymised after 24 months.
Your rights
Under UK data protection law, you have the right to:
- Ask us what personal information we hold about you and receive a copy of it
- Ask us to correct any information that is inaccurate or incomplete
- Ask us to delete your information, where we're not required to keep it for a legal reason
- Ask us to restrict or object to how we use your information
- Ask for your information to be provided to you or another organisation in a portable format
- Withdraw consent at any time, where we are relying on consent
To exercise any of these rights, contact us at info@pollendine.com. If you're not satisfied with how we've handled your information, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).
